Who we are

Maintenance Men provides home repair and maintenance services across the West Midlands. You can reach us on 0121 667 4946, by email at [email protected], or through the booking form on this website.

We are the data controller for personal data collected through this website and through our work.

What data we collect

When you enquire or book: your name, phone number, email address, the property address, a description of the problem and your preferred appointment time.

When we do the work: job notes, photographs of the work, details of parts fitted, quotes, invoices and payment records.

Payment data: payments are processed by our payment provider. We keep a record of amounts and payment status; we do not store your card details on our systems.

Website data: when you accept analytics cookies, Google Analytics 4 collects your IP address (anonymised), device and browser information, and which pages you view. See our Cookie Policy for details.

Why we use it, and our lawful bases

  • To quote, book and carry out the work you ask for — because it is necessary for the contract with you (UK GDPR Art. 6(1)(b)).
  • To keep records of jobs, invoices and parts — contract, and our legitimate interests in running a safe, well-documented business.
  • To keep accounting records — our legal obligation (UK GDPR Art. 6(1)(c)).
  • Website analytics — only with your consent (Art. 6(1)(a)), which you can withdraw at any time.
  • To deal with complaints, claims or disputes — legitimate interests, and legal obligation where applicable.

Who we share it with

  • The engineer who attends your job, and any subcontractor who helps with it — only the details needed for the job.
  • Service providers who process data for us: our website host, email provider, booking/diary tools, and our payment provider. They may only use the data to provide services to us.
  • Professional advisers (accountant, insurer, legal) where necessary.
  • Anyone we must share it with by law, for example HMRC or a court.

We never sell your personal data.

Most of our providers are based in the UK or the EEA. Where a provider transfers data outside the UK, we rely on the UK International Data Transfer Addendum or an equivalent safeguard.

How long we keep it

  • Customer and job records: 6 years after your last job (matching our tax and liability obligations).
  • Enquiries that do not become bookings: 24 months.
  • Analytics data: 14 months.
  • Consent records: until you withdraw consent, then as needed to prove we respected it.

Your rights

You have the right to ask for a copy of your data, to have it corrected, deleted, or restricted, to object to our use of it, to withdraw consent, and to receive it in a portable format. To exercise any right, email [email protected], call 0121 667 4946, or use the booking form marked 'data request'. We will respond within one month.

You can also complain to the Information Commissioner's Office at ico.org.uk or 0303 123 1113. We would appreciate the chance to put things right first — please contact us directly.

Security

Access to customer records is limited to staff and engineers who need it for their work. Our systems are password protected, and payment data is handled by our payment provider rather than stored by us.
